Definitions
In these Terms and Conditions:
- "We", "us", "our" refers to JJ Cabs Chelmsford, a licensed private hire operator based in Chelmsford, Essex, United Kingdom.
- "You", "your", "customer", "passenger" refers to the person booking or using our services.
- "Services" means taxi, private hire, airport transfer, and related transport services provided by us.
- "Booking" means a confirmed request for our Services made by you.
- "Driver" means a licensed private hire driver operating on our behalf.
Booking & Confirmation
You may book our Services through any of the following channels:

All bookings are subject to driver and vehicle availability. A booking is only confirmed once we have acknowledged it directly via phone, WhatsApp, or email reply. Form submissions and unanswered messages do not constitute a confirmed booking.
It is your responsibility to provide accurate pickup and drop-off addresses, contact details, and pickup time. We accept no liability for missed connections or delays caused by inaccurate or incomplete information.
Pricing & Payment
Fares are quoted at the time of booking and may be based on:
- Distance and duration of the journey
- Time of day (peak, late-night surcharges may apply)
- Number of passengers and luggage
- Vehicle type required (standard saloon, MPV, wheelchair-accessible)
- Waiting time and additional stops
Payment methods
We accept the following payment methods:
- Cash (paid directly to the driver at the end of the journey)
- Card payment in-vehicle (most vehicles equipped with card terminals)
- Bank transfer (for pre-arranged corporate or large bookings)
Payment is due at the end of the journey unless otherwise agreed in advance. Pre-payment may be required for long-distance journeys, airport transfers booked more than 7 days in advance, or corporate accounts.
Additional charges
The following may incur additional charges:
- Waiting time beyond 5 minutes (free wait) — charged per 15 minutes
- Additional stops not specified at booking
- Soiling fee if the vehicle requires professional cleaning due to passenger conduct (up to £100)
- Parking and toll charges incurred during the journey (e.g. airport drop-off fees, congestion charges)
Cancellation Policy

To cancel a booking, please contact us as soon as possible by phone, WhatsApp, or email. Cancellation is effective only when we acknowledge it.
Cancellations by us
While rare, we reserve the right to cancel or refuse a booking if:
- No driver is available at the requested time
- Adverse weather, road closures, or other unforeseen circumstances make the journey unsafe or impractical
- The passenger's behaviour or condition poses a safety risk
In such cases, any pre-payment will be refunded in full.
Pickup & Waiting Time
We endeavour to arrive at the pickup point at the agreed time. For all journeys:
- The driver will typically arrive within 5 minutes either side of the booked time
- The driver will wait up to 5 minutes free of charge at the pickup point
- After 5 minutes, waiting time will be charged at our standard rate (please ask for current rates)
- For airport collections, drivers will wait up to 45 minutes free of charge after the flight's scheduled landing time, to allow for baggage reclaim and arrivals procedures
Passenger Conduct
To ensure a safe and pleasant journey for all, passengers must:
- Wear seatbelts at all times (required by UK law)
- Comply with all reasonable instructions from the driver
- Not consume alcohol or smoke (including e-cigarettes) in the vehicle
- Not consume food or drink in the vehicle without driver permission
- Treat the driver and vehicle with respect
- Not engage in any illegal activity
The driver reserves the right to refuse or terminate a journey if a passenger's behaviour is abusive, threatening, intoxicated to an unsafe degree, or otherwise unacceptable. In such cases, the full fare remains payable.
Children & child seats
By UK law, children must use an appropriate child seat or booster in licensed taxis where one is fitted. Please inform us at the time of booking if you require a child seat. While we make every effort to provide them, availability cannot be guaranteed at short notice.
Animals
Assistance dogs (guide dogs, hearing dogs, etc.) are welcome at all times, in accordance with the Equality Act 2010. Other animals may travel only with prior agreement at the time of booking.
Vehicles & Drivers
All our vehicles are:
- Fully licensed by the relevant local authority
- Fully insured for the carriage of passengers for hire and reward
- Regularly maintained, inspected, and MOT-certified
- Clean and presented to a high standard
All our drivers are:
- Fully licensed private hire drivers
- DBS-checked (Disclosure and Barring Service)
- Trained in customer service and safety
- Insured to drive the vehicle
Wheelchair Accessibility
We are proud to offer wheelchair-accessible vehicles for all journey types. Please request a wheelchair-accessible vehicle at the time of booking. While we make every effort to accommodate such requests, availability is subject to fleet capacity. We recommend booking in advance.
Luggage
Reasonable luggage is included free of charge. Please inform us at the time of booking if you have:
- Excessive luggage (more than 2 large suitcases per passenger)
- Bulky items (bicycles, golf bags, surfboards, ski equipment)
- Fragile or high-value items
We may need to provide a larger vehicle, which may affect the fare. We cannot accept any luggage that is dangerous, illegal, or hazardous.
Liability
Our liability is governed by UK law. In summary:
- We are fully insured for passenger injury, property damage, and third-party claims arising from the operation of our vehicles, subject to our insurance policy limits.
- We will not be liable for indirect, consequential, or economic losses, including (but not limited to) missed flights, missed connections, business losses, or loss of personal items, except where caused by our negligence or breach of contract.
- For airport transfers, while we make every effort to ensure timely arrival, you are responsible for booking journeys with sufficient time to allow for traffic, road closures, security queues, and check-in.
- Nothing in these Terms limits our liability for death or personal injury caused by our negligence, fraud, or any other liability that cannot be excluded under UK law.
Lost Property
If you leave an item in our vehicle:
- Contact us as soon as possible on 01245 92 22 33 or jjcabschelmsford@gmail.com
- We will check with the driver and the vehicle
- Items found will be held for a reasonable period (typically 14 days)
- We may charge a reasonable fee for the return of lost property (driver's time, fuel, postage)
- We accept no liability for items left in the vehicle, lost, or damaged
Complaints
We take all complaints seriously. If you are unhappy with any aspect of our service:
- Please contact us by phone, WhatsApp, or email within 14 days of the journey
- Provide the date, time, pickup/drop-off addresses, and driver details if known
- We will investigate and respond within 7 working days
If you remain dissatisfied, you may also contact Chelmsford City Council's Licensing Department, who regulate private hire operators in our area.
Force Majeure
We are not liable for any failure or delay in performing our Services if such failure or delay is caused by events beyond our reasonable control, including but not limited to:
- Severe weather conditions (snow, ice, flooding, storms)
- Traffic accidents, road closures, or major congestion
- Vehicle breakdown despite proper maintenance
- Industrial action, civil disturbance, or government restrictions
- Acts of God, fire, or natural disasters
In such cases, we will use reasonable efforts to provide an alternative service or refund any pre-payment for the affected journey.
Data Protection & Privacy
Our processing of your personal data is governed by our Privacy Policy, which forms part of these Terms and Conditions. By booking with us, you acknowledge that you have read and understood our Privacy Policy.
Website Use
Our website is provided for your convenience to book and learn about our Services. By using our website you agree:
- Not to use it for any unlawful purpose
- Not to attempt to gain unauthorised access to our systems
- Not to submit false booking requests, spam, or malicious content
- Not to reproduce, copy, or distribute content from our website without permission
All content on our website (text, images, logos, design) is owned by JJ Cabs Chelmsford and protected by UK and international copyright laws.
Changes to These Terms
We may update these Terms and Conditions from time to time. The latest version will always be available on our website at jjcabschelmsford.com/terms.html. Continued use of our Services after changes are posted constitutes acceptance of the updated terms.
Governing Law & Jurisdiction
These Terms and Conditions are governed by the laws of England and Wales. Any disputes arising from these terms or your use of our Services shall be subject to the exclusive jurisdiction of the courts of England and Wales.
If any provision of these terms is found to be unenforceable, the remaining provisions shall continue in full force and effect.
